We want you to book your safari adventure with 100% confidence. We understand that planning a safari can be both exciting and overwhelming. Below, you’ll find key information about who we are, how your bookings and payments are managed, and the terms that govern our services.
At Kilimanjaro Friendship, our reputation is everything. We’re committed to exceeding your expectations and delivering life-changing experiences through exceptional service and deep local knowledge.
1. Booking
Upon confirmation of your itinerary, accommodations, and services, you will receive a Booking Confirmation.
All bookings are subject to these Terms and Conditions. A binding contract is formed once we receive your deposit or full payment (if your tour starts in less than 40 days).
No contract exists until the payment mentioned above is received. The Booking Confirmation and these Terms and Conditions together form the agreement between you and Kilimanjaro Friendship.
It is your responsibility to ask for clarification if anything is unclear in these Terms or in your Booking Confirmation.
By confirming a booking, you acknowledge that you’ve read, understood, and agreed to be bound by these Terms.
Confirmed bookings are non-transferable.
The lead traveler is responsible for full payment and for ensuring everyone in the party understands and agrees to these Terms.
All participants, including any added later, agree to be bound by these Terms. Parents/guardians agree on behalf of minors.
The lead traveler agrees to provide accurate nationalities, birthdates, passport numbers, and scanned passport copies for all travelers.
2. Deposit & Payment
A 30% deposit is required to secure your booking and will be applied toward the total cost.
The balance must be paid 30–40 days prior to departure. If not, your booking may be treated as canceled, and the deposit forfeited.
Bookings made within 30 days of departure require full payment upfront.
All bank charges and transaction fees are the client’s responsibility.
The invoice amount must reflect in our account net of any bank fees.
3. Cancellation & Refund Policy
If you wish to cancel your booking, you must notify Kilimanjaro Friendship in writing (email is acceptable). The cancellation will be effective from the date we receive your notice.
Cancellation charges (as a percentage of the total trip cost) are as follows:
60–39 days prior: 20%
30–15 days prior: 40%
15–0 days prior: 100%
We reserve the right to cancel any tour at our sole discretion due to unavoidable circumstances. If so, all monies paid will be refunded. No other claims shall be entertained.
4. Passports, Visas & Travel Documents
Clients are solely responsible for ensuring that all required documents (passports, visas, health certificates, vaccination records) are valid and up to date. Kilimanjaro Friendship is not liable for any consequences resulting from incomplete or incorrect documentation.
5. Baggage
Clients are responsible for their own baggage at all times. We accept no liability for loss or damage. Baggage limits:
One bag (max. 20 kg, soft-sided) and one daypack.
On some bush flights, stricter limits may apply.
6. Risk
All tours involve an element of personal risk. Clients agree to assume full responsibility and release Kilimanjaro Friendship and its agents from liability for injury, death, or property damage. Clients indemnify the company against any such claims.
7. Authority on Tour
Tour guides and drivers have full authority during the tour. Clients must adhere to local laws, customs, and foreign exchange regulations in all countries visited.
8. Marketing & Media
Kilimanjaro Friendship may use photographs or videos taken during your tour for marketing purposes. By booking with us, you grant consent unless you inform us in writing before or during your tour that you do not wish to be included.
9. Force Majeure
We are not liable for delays, changes, or cancellations caused by events beyond our control, including war, civil unrest, extreme weather, flight issues, or mechanical breakdowns.
10. Price Changes
Prices are based on current national park fees and taxes. If these fees change due to government policy, we reserve the right to pass on the increase, even after a booking has been confirmed.
11. Complaints
If you encounter an issue during your tour, contact us immediately using the emergency contacts listed in your Booking Confirmation. If unresolved, email us within 10 days of the tour’s end. Complaints received after this period may not be considered.
12. Itinerary Changes
Once a deposit is paid, changes to your itinerary incur a $100 fee per person plus any additional third-party costs.
Changes requested within 60 days of the tour are subject to cancellation charges.
Changes during the tour will incur a $100 fee per person and any extra costs.
No refunds will be given for unused services due to itinerary changes during the tour.
We are not responsible for changes required due to flight delays or rescheduling.
13. Pricing
All prices are in US Dollars (USD) or Euros, per person, and based on current rates at the time of your Booking Confirmation.
Quoted child prices depend on the ages provided at the time of booking. Incorrect age information may result in price adjustments.

Private 4×4 safari vehicle with pop-up roof

Meals and drinks not listed
Entry visas
International flights
Travel insurance
Tips and gratuities
Personal items and souvenirs
Laundry, phone calls, and toiletries
Landing fees (for charter flights)
